🛑 Our Cancellation Policy

At TraveLab (Arafa Tourism LLC), we know plans can change—and we’re here to support you every step of the way. Below is our clear and transparent cancellation policy for both Group Itineraries and Custom Trips.

✈️ Group Itineraries (Crew Trips)

​

🗓 Trip Cancellation 

If TraveLab cancels a group trip due to unforeseen events such as border closures or safety concerns:

  • You will be offered a full refund or

  • The option to transfer your booking to a future scheduled trip
    Cancellation decisions are made with input from local partners and the TraveLab founder.

💳 Deposit Payments

  • Without a Replacement: Deposits are non-refundable.

  • With a Replacement: If you find someone to take your place, a $100 admin fee will apply.

​

💰 Full Payment Cancellations

  • More than 90 Days Before Departure:
    → If you cancel and we find a replacement, you’ll receive a refund minus the deposit.
    → If you find a replacement, you’ll receive a full refund minus $100 admin fee.

  • Less than 90 Days Before Departure:
    → No refunds are available unless a replacement is found.

🌍 Custom Itineraries

📩 Cancellations

Each cancellation is reviewed on a case-by-case basis. We'll do everything possible to recover refunds from providers, including:

  • Airlines

  • Hotels

  • Cruise Operators

  • Local Tour Agencies

⚠️ Refunds are not guaranteed, as they depend on each provider’s individual policy.

🔁 Postponing Instead of Canceling?

We’ll gladly help you reschedule your trip to a future date with minimal fees, when possible.

🛡 Travel Insurance Is Highly Recommended

We strongly advise purchasing comprehensive travel insurance.
We partner with Travelex and Allianz—or you're welcome to use your preferred provider.

❗ Important Note

Arafa Tourism LLC is not responsible for trip disruptions caused by:

  • Missed flights

  • Weather events

  • Illness, injury, or personal emergencies
